Agree the rules with the group prior to departure.

The organiser should give all the riders a map which shows the route with Landmarks marked, and time taken to do various sections (yes I know it's not a time trial, or race).

Make sure every on is introduced to each other.

Provide a contact phone number in case someone gets lost (yes it's happened to me), or at worst if someone has an accident there is someone to organise the return etc.

Wear appropriate clothing (mostly full leathers, some with back protectors
Have a road worthy machine (particularly tyres)
Have the appropriate attitude (we manage this by having pre-ride talks
to the group where we cover destinations, distances, 'no passing on the
left", ride within your limits, don't succumb to peer group pressure.

Meet at ride meeting point nominate leader. no-one overtakes leader. nominate TEC, TEC always remains behind group, and usually is armed with FA kit (never hopefully
needed).
both exchange phone numbers, and a head count is taken. group is briefed on route, and all asked if anyone is to pull out during the ride etc which will affect numbers. Ride leader is to check phone at points through out ride for incidents.
